Pay: $25.00–$30.00/hour
Schedule: Monday–Friday, 8:00 a.m.–5:00 p.m.
Work Arrangement: Hybrid, 2 days onsite / 3 days remote

Position Overview
NEXTAFF is seeking an experienced, highly organized, and proactive Executive Assistant to provide high-level administrative support to a senior executive. This position is ideal for a polished administrative professional who is comfortable managing a fast-paced schedule, handling confidential information, coordinating meetings and travel, and anticipating the needs of executive leadership.
The successful candidate will be self-driven, detail-oriented, and capable of balancing multiple priorities while maintaining a high level of professionalism, discretion, and accuracy.
Schedule & Hybrid Work Environment
- Monday through Friday, 8:00 a.m.–5:00 p.m.
- Hybrid schedule consisting of 2 days onsite and 3 days working from home each week
- Required onsite days will be determined by the employee’s supervisor
- Candidates should be prepared for additional onsite work during the first few months to accommodate training and onboarding
- Computer equipment, monitors, and necessary accessories will be provided for remote work
- Because work is primarily cloud-based, candidates must have reliable, high-speed internet service at home
Key Responsibilities
- Strategically manage and maintain a senior executive’s calendar, including appointments, meetings, and scheduling priorities
- Coordinate meetings and prepare agendas, meeting materials, minutes, scripts, and follow-up documentation
- Attend assigned executive and leadership meetings as needed and accurately document key discussions and action items
- Anticipate executive needs and provide proactive, confidential administrative support
- Serve as a professional liaison between executive leadership, internal staff, and other stakeholders
- Coordinate business travel, accommodations, itineraries, and schedule changes
- Assist with planning and coordinating meetings and events
- Prepare, compose, edit, and distribute professional correspondence and other communications
- Maintain and follow up on action-item lists resulting from meetings
- Monitor incoming communications and executive email accounts, redirecting or responding as appropriate
- Prepare and process expense reports accurately and on time
- Collaborate with staff to research information, analyze project needs, and assist with recommendations or next steps
- Manage multiple assignments simultaneously while adjusting quickly to changing priorities
- Develop a strong understanding of internal processes, organizational structure, and leadership needs to effectively support day-to-day operations
Qualifications
- Previous experience providing administrative support in an Executive Assistant or similar high-level administrative capacity
- Experience preparing materials for meetings involving mid-level through C-suite leadership
- Strong proficiency with Microsoft Outlook, Word, Excel, and PowerPoint
- Exceptional organizational and time-management skills
- Excellent written and verbal communication skills
- Strong attention to detail and follow-through
- Ability to manage competing priorities and shift focus when urgent needs arise
- Demonstrated professionalism, tact, discretion, and sound judgment
- Ability to work independently and proactively
- Comfortable handling sensitive and confidential information
- Degree or recognized business-school certification preferred; bachelor’s degree is a plus
- Candidate must successfully pass a background check
Compensation & Benefits
- $25.00–$30.00 per hour, depending on experience and qualifications
- Candidates who successfully convert to permanent employment will become eligible for the employer’s applicable benefits package
- Equipment needed to work remotely, including a computer, monitors, and accessories, will be provided
