About this position

Runkle's is looking for a hands-on, organized, and detail-oriented Office Manager / Bookkeeper to support the administrative and financial operations of our four locations and 28 employees.

Reporting directly to the President, this part-time role combines targeted bookkeeping tasks, payroll, HR administration, and general office management. Our remote accounting partner handles core accounting, including the general ledger, reconciliations, month-end close, and financial statements. This role owns the day-to-day work that keeps money moving in and out of the business: entering bills, invoicing customers, following up on receivables, filing sales tax, and running payroll.

There is potential for the position to grow into a full-time opportunity over time.

Key Responsibilities

Accounts Payable, Accounts Receivable & Sales Tax

  • Enter vendor bills into the GL and future syncing software accurately and on time.

  • Own the customer AR invoicing process, from issuing accurate invoices promptly to any follow-up needed on open and aged balances.

  • Escalate collection issues to the President when needed.

  • Calculate sales tax correctly and file returns on time.

  • Work closely with our remote accounting partner so bills, invoices, and payments flow cleanly into the books.

  • Assist our remote accounting partner with the month-end close checklist and quarterly checklists.

Payroll, HR & Employee Administration

  • Coordinate weekly payroll review and run biweekly payroll, ensuring timely submission for Thursday paydays.

  • Assist with the transition to ADP payroll in January.

  • Support HR administration, including benefits enrollment, new hire onboarding, employee documentation, and recordkeeping.

  • Coordinate employee training across all four locations in partnership with the Field Operations Manager.

  • Assist with succession planning and maintain accurate, up-to-date employee records.

  • Serve as a resource for general employee and administrative questions.

Office Management & Process Improvement

  • Provide day-to-day administrative support to the President.

  • Maintain digital, organized financial, employee, and business records.

  • Identify opportunities to streamline administrative and accounting processes and reduce manual duplicate data entry.

  • Help improve the use of existing systems and support the transition to new tools.

Systems & Technology

You'll work with several existing systems and help simplify and improve how they are used.

  • Current systems: Magnify, iSolve 4, Excel, and Word.

  • Upcoming systems or software: ADP for payroll, AP software that syncs with the GL, QuickBooks Online, Google Workspace, Zoom/Teams, and Slack

Required

  • 3+ years of bookkeeping experience, including accounts payable, accounts receivable, invoicing, and collections.

  • Hands-on payroll processing experience and the ability to meet recurring deadlines.

  • Experience with sales tax calculation and filing.

  • Strong Microsoft Excel skills.

  • Comfort working across multiple software systems.

  • Easily adaptable to new processes, policies, and software.

  • Able to happily work with remote teams to screen share, save digital documentation, instant message, and video conference.

  • Excellent organizational skills and attention to detail.

  • Ability to manage multiple priorities independently and follow through on deadlines.

  • High level of integrity and discretion when handling confidential financial and employee information.

Preferred

  • Associate's or bachelor's degree in accounting, finance, business, or a related field.

  • Experience with QuickBooks Online, bill.com or similar AP software, Google Workspace, Slack, Zoom, and/or Teams. Experience with ADP a plus.

  • Experience supporting HR administration, including benefits, onboarding, and employee records.

  • Experience working in a small or mid-sized, multi-location business.

  • Interest in expanding responsibilities and potentially growing into a full-time position.

Schedule

  • Schedule: Part-time, approximately 20 hours per week, with potential to grow into a full-time role.

  • Location: On site, in person.
