About the Role

Acquire Hospitality is seeking a polished, highly organized Office Manager to support the catering and events team at a premier convention and events venue in New York City.

This role is ideal for someone who thrives in a fast-paced hospitality environment and enjoys being at the center of day-to-day operations. The Office Manager will oversee key administrative functions while supporting the Sales & Marketing team, senior leadership, and a high volume of catering and event requests.

The ideal candidate is professional, detail-oriented, comfortable managing multiple priorities, and confident communicating with clients and internal teams by both phone and email.

What You’ll Do
  • Oversee day-to-day administrative and office operations for the Sales & Marketing department

  • Manage the Sales & Marketing inbox and respond to incoming catering and event inquiries

  • Answer incoming calls and appropriately direct inquiries or take detailed messages

  • Support the coordination of internal functions, meetings, and events

  • Assist with the creation, editing, and distribution of Banquet Event Orders (BEOs)

  • Maintain event calendars and ensure event information, revisions, additions, and cancellations are accurately updated

  • Help ensure culinary and operations teams receive accurate and timely event information

  • Manage conference room bookings and scheduling

  • Coordinate and manage Tapin2 orders

  • Take meeting minutes and assist with departmental follow-up

  • Code and submit P-card expenses for leadership

  • Assist the Sales team and General Manager with basic IT requests and troubleshooting

  • Order office supplies and maintain appropriate inventory

  • Maintain organized and presentation-ready reception, sales office, conference room, and client-facing areas

  • Ensure client beverages, coffee, tea, and pantry supplies remain stocked

  • Receive and distribute incoming mail

  • Provide administrative and clerical support to the Director of Sales & Marketing and General Manager

  • Partner with other departments as needed to support successful events and daily operations

What We’re Looking For
  • Previous experience in office management, administration, sales support, catering, events, hospitality, or a related environment

  • Strong organizational and time-management skills with the ability to manage multiple priorities

  • Excellent professional phone and email communication skills

  • Strong attention to detail and accuracy

  • Comfortable working in a high-volume, deadline-driven environment

  • Ability to communicate effectively with clients, leadership, culinary teams, operations teams, and other departments

  • Professional and polished demeanor, particularly when interacting with clients

  • Experience working with BEOs, catering systems, event management platforms, or similar tools is a plus

  • Ability to work independently while remaining collaborative and team-oriented

Physical Requirements

This position may require walking or standing throughout portions of the shift, lifting and transporting items weighing up to 65 pounds, and assisting with the movement of carts, tables, equipment, or products as required for the role.
