About this position
About Fairview Partners
Fairview Partners Investment Management is a boutique private credit firm investing in distressed and non-performing commercial real estate debt. We are a small team in Capitol Hill, a five-minute walk from the light rail. Everyone here takes on many roles, and the work in this position is varied by design.
The Role
We are hiring a full-time Executive Assistant & Marketing Coordinator. The role has two halves: executive support for Preston Ball, our Director of Acquisitions, and ownership of Fairview's marketing program and daily office operations. You will report to Preston Ball and Olivia Senna.
The right person is sharp, organized, detail-oriented, and takes real satisfaction in making other people more effective.
Location: Seattle, WA (Capitol Hill). Hybrid, at least two days per week in the office; which days is your choice.
Compensation is commensurate with experience.
What You Will Do
Executive support
- Manage calendars and scheduling; join banker and deal calls as scribe and capture notes, action items, and follow-ups
- Organize and log inbound deal files so documents are ready for the investment team
- Support due diligence on new deals, including title review and organizing diligence materials
Marketing and events
- Coordinate Fairview events end to end: the Summer Party, the Annual Meeting, and intermittent LP and banker dinners (venue search, menus, digital invitations, follow-ups)
- Produce routine LP and banker mailers: annual holiday cards, summer postcards, and biannual deal postcards
- Own the Fairview swag program, including the annual budget, new and repeat orders, inventory, and fulfillment requests. We take pride in giving LPs and partners items that are fun, unique, and useful
- Review and update the Fairview website quarterly and propose improvements to design, content, and accessibility
- Manage Fairview's LinkedIn presence, keeping posts timely and on brand
Office administration
- Own daily office operations: supplies, shipping and mailing, mail routing, printer upkeep, and vendor coordination
- Order and manage print products, boxes, and packaging
Who We Are Looking For
A self-starter who is organized, detail-oriented, and manages time well. The autonomy you are given grows with the trust you build: the more you show you can run with something independently, the more we hand you.
- Exceptionally organized, with strong follow-through
- Clear, professional writing; comfortable drafting emails on behalf of senior people
- Discreet with confidential investor, deal, and financial information
- Proactive: notices what needs doing and handles it
- Comfortable in a small office where high-level support and hands-on logistics happen in the same day
- Finds satisfaction in supporting a team rather than in a client-facing or sales role
- Based in Seattle and able to be in the Capitol Hill office at least two days per week
Helpful but not required: prior experience as an executive assistant, office manager, or paralegal; HubSpot or another CRM; Microsoft Outlook; Canva or InDesign; event coordination; vendor management; AI tools such as Claude.
We welcome candidates returning to the workforce after time away. If your background is non-traditional but you are sharp and organized, we want to hear from you.
