About the Role

We are a construction firm seeking a versatile Construction Operations Coordinator to support our projects and company operations. This position combines construction administration, procurement, payroll administration, and contract preparation in a small-office environment. This role can grow over time in responsibility and compensation.

We’re looking for someone with initiative, honesty, and a strong sense of ownership—someone who follows through, solves problems, collaborates well, and wants to take on broader responsibilities over time.

Key Responsibilities

  • Prepare, track, and coordinate construction submittals and project documentation.
  • Manage day-to-day administrative tasks, paperwork, records, and correspondence.
  • Support payroll processing and maintain accurate supporting records.
  • Coordinate procurement, obtain and compare supplier quotes, negotiate pricing and terms, and track orders and deliveries.
  • Prepare contracts, purchase orders, and related documents for review and approval.
  • Assist with quantity takeoffs, estimating, and proposal preparation.
  • Help prepare and track budgets, job costs, and project expenses.
  • Communicate and collaborate with company leadership, field teams, subcontractors, and suppliers.
  • Keep files organized and help improve office and project processes.
  • Occasional Travel as needed to support projects and business operations.

Skills and Experience

  • Relevant experience in construction administration, project support, procurement, accounting, or a similar role.
  • Construction knowledge, including familiarity with submittals, takeoffs, and estimating.
  • Procurement skills, including comparing quotes and negotiating with suppliers.
  • Understanding of budgets, job costing, and basic accounting processes.
  • Strong computer skills, particularly with Microsoft Excel, Word, Outlook, and OneDrive; familiarity with PowerPoint, Microsoft Project, and Adobe Acrobat.
  • JobPower accounting software experience is a plus.
  • Strong organization, attention to detail, and the ability to manage competing priorities.
  • Clear communication skills and the ability to work independently and collaboratively.
